Changing Plan Managers Mid-Plan

Author: Matt Clements

Yes, you can change your NDIS plan manager halfway through your plan. You don't need to wait until your plan ends or renews.

Changing plan managers doesn't mean starting your NDIS plan again. Your approved funding, plan dates and funding periods stay the same.

You can also usually keep using your existing support providers.

The main thing is making sure your invoices and plan management arrangements are handed over correctly.

Can I change plan managers before my NDIS plan ends?

Yes. The NDIS allows participants to change plan managers at any time during their plan.

You might decide to switch because you want:

  • Faster invoice processing.
  • Clearer budget information.
  • Better communication.
  • More help understanding your funding.
  • A plan manager who better suits your needs.

You don't need a new NDIS plan just to change your plan management provider.

The NDIS guidance on plan management confirms that you can change plan managers during your plan.

What happens to my NDIS funding?

Your approved NDIS funding doesn't reset or disappear when you change plan managers.

For example, imagine your NDIS plan has $20,000 in a support budget.

You've already spent $8,000 when you decide to change plan managers.

You would have $12,000 remaining in that budget, assuming there are no other claims affecting the balance.

However, some of that funding may not be available until a later funding period.

Changing plan managers doesn't give you a new $20,000 budget or change when your funding becomes available.

Your new plan manager takes over responsibility for helping you manage the funding remaining in your existing plan.

Do my funding periods change?

No. Changing plan managers doesn't restart your funding periods or change when your funding becomes available.

If your plan releases funding every three months, those periods continue as scheduled.

Any unused funding that rolls into your next funding period within the same plan will continue to do so, even if you've changed plan managers.

Your new plan manager should help you understand:

  • How much funding is available in your current period.
  • How much you've already spent.
  • Whether any invoices are still outstanding.
  • How to plan your spending for the rest of the period.

Remember, some funding may not yet be available to spend because it belongs to a later funding period.

You can learn more in the NDIS guidance on funding periods.

What happens to unpaid invoices?

Your previous plan manager should forward outstanding invoices to your new plan manager.

Once your new plan manager is correctly recorded with the NDIA, they can review and submit eligible claims for supports delivered earlier in your current plan.

Your previous plan manager should not submit new claims after their recorded relationship has ended, as those claims will be rejected.

Claims already submitted or paid should be checked carefully to avoid duplicates.

It's important to make sure both plan managers understand which invoices are still waiting for payment.

You don't necessarily have to wait until every invoice has been paid before switching.

Can I keep my existing support providers?

Yes. Changing your plan manager doesn't normally mean changing the providers who deliver your NDIS supports.

Your existing providers will still need to agree to continue delivering your supports under their own service arrangements.

You can usually keep your existing therapists, support workers and other providers.

Just let them know who your new plan manager is and where they should send future invoices.

Your service agreements with those providers remain separate from your plan management agreement.

You should only need to update them if something about your support arrangements is changing.

What should I check before switching?

Before changing plan managers mid-plan, make sure:

  • You've checked the notice requirements in your current service agreement.
  • Your current plan manager knows you're leaving.
  • Your new plan manager understands your existing budget.
  • You've requested your latest budget statement.
  • Outstanding invoices and claims have been identified.
  • Your plan manager relationship is updated with the NDIA.
  • Your providers know where to send future invoices.

Your new plan manager should also confirm when they can begin submitting eligible claims.

Will switching interrupt my supports?

Changing plan managers shouldn't require you to stop receiving your usual NDIS supports.

However, a poorly managed handover can delay invoice processing and provider payments.

The best way to reduce this risk is to arrange your new plan manager before your existing service ends and confirm that the correct claiming arrangements are in place.

Think of it like changing the person looking after your household bills. The bills don't disappear, but someone needs to know which ones are still waiting to be paid.

You don't have to wait for your next NDIS plan

If your current plan manager isn't meeting your needs, you can explore other options now.

Your funding and plan dates stay the same. What changes is the provider helping you manage them.

A clear handover can help you continue receiving your supports while your new plan manager takes over.
